What must an insurance advice record contain under the IDD, and how do you generate it from a meeting?

Updated on

In France, article L521-4 of the Insurance Code, which transposes the Insurance Distribution Directive (IDD), requires the distributor to specify the client's demands and needs in writing and, when advice is given, to give the reasons for the recommendation.

The most reliable way is to draft it from what was actually said: Meetingize records the meeting, transcribes it by speaker, then generates the record with the "insurance broker" persona. You review and seal it.

What the law says

Article L521-4 requires the distributor, before a contract is concluded, to specify in writing the demands and needs of the prospective policyholder, based on information obtained from them, and to give objective information about the product. When advice is provided, the recommendation must be reasoned, also in writing.

It transposes Directive (EU) 2016/97 on insurance distribution, applicable in France since 1 October 2018 and supervised by the ACPR.

Sections of a usable advice record

This outline is indicative: have it validated by your compliance officer or professional body for your product lines.

  • Identification: client, intermediary, date, place or channel of the meeting.
  • The client's situation and stated needs, in their own words where possible.
  • Demands: budget, expected cover, constraints, accepted or refused exclusions.
  • Products presented and recommended solution.
  • Reasons for the advice: how the solution meets the needs, alternatives ruled out and why.
  • Warnings given to the client and the client's decision.

Generating the record from the meeting, step by step

  1. Inform the client and get their consent, then record the meeting with the iOS app (up to 3 hours on Standard and Pro), or upload the audio file on the web.
  2. Meetingize transcribes and attributes each utterance: you can tell what the client asked for from what you recommended.
  3. Choose the "insurance broker" persona: the advice record is drafted from the transcript.
  4. Review, correct, complete: the document remains your responsibility.
  5. Seal the final version (SHA-256 fingerprint and timestamp): the PDF carries a QR code opening a public verification page.
  6. For an audit, export the relevant meetings as a "proof of advice" ZIP archive.
What Meetingize does not do
  • It does not certify that your advice complies with the IDD: it helps you formalise it and keep a record.
  • It does not replace your analysis: the generated record is a draft you approve.
  • Regulatory templates are at version 1 and are being refined with early users.

Frequently asked questions

Is a written advice record required for every sale?

Under article L521-4 of the French Insurance Code, the client's demands and needs must be specified in writing before the contract is concluded, and advice, when given, must be reasoned in writing. The exact format is up to your firm.

Can an AI tool generate the advice record?

Yes, provided it starts from what was said and the result is reviewed. Meetingize drafts the record from the meeting transcript; the broker approves it and can seal it to prove its integrity.
